VoicePro Auto Attendant Example

VoicePro Features The purpose of an Automated Attendant is to guide your callers just as your receptionist would do. The difference is that callers don't need to wait for a live person to answer.

The phone system will answer on the first ring and immediately provide callers with a customized menu of options they can select to route to a specific person or department. Menu options can also include informational messages.

With the VoicePro, you can record a company greeting with a menu of prompts to assist your callers 24 hours a day, telling your caller which keys to press.

With your own recorded custom prompts you can instruct callers to press a 2-digit extension number or press keys that you specify in your custom menu. You can make any menu key ring to a phone extension or play a recorded announcement.

You can also create menu options that route direct to a specific voice mailbox where it plays the personal greeting of that person and then takes a message.

Additional options can route callers to outside phone numbers such as cell phones of remote personnel.

You can also create different company greetings for Day, Night and Weekend.

    If you know the extension you wish to reach, you may enter it at any time.
    For assistance, press 0.
    For Sales, press 1.
    For Technical Support, press 2.
    For Accounting, press 3.

    For a company directory, press 9.

For night time you may want to do something like this...


    Thank you for calling XYZ Corp. The office is presently closed.
    But your call is very important to us and we look forward to helping you.
    To listen to a description of our products, press 4.
    To hear directions to our office, press 5.
    To leave a message for our receptionist, press 6.
    To leave a message for a specific person, enter their extension number.
    For a company directory, press 9.



At any time of day, if personnel are available or not, it's important to give callers the satisfaction that they can call and get answers to their questions.
